Inventory codes & gemstone passports
A SKU identifies an inventory item. A passport ID identifies its traceability record. A laboratory report number identifies the laboratory document. Link these identifiers without treating them as interchangeable.
A simple code structure
| Item | Example SKU | Use |
|---|---|---|
| Individual rough stone | WG-RF-000001 | One individually tracked rough stone |
| Finished loose gem | WG-GM-000001 | One individually tracked finished stone |
| Rough parcel | WG-PC-000001 | One defined parcel |
| Jewelry variant | WG-JW-000001 | One defined design, size and metal variant |
Preserve existing inventory codes if they already exist. New codes should be unique, stable and never reassigned to a different item. Keep species, weight, declared origin and treatments in separate fields rather than encode claims into the SKU.
Connect the records
A saleable item's record should link its SKU to the product or variant, photographs, passport ID, parent rough ID where applicable, report reference and availability. Each finished child stone needs its own inventory record; its parent rough relationship stays visible.
For unique gemstones, assign an individual SKU and track that physical item. For multiple interchangeable jewelry units, use the variant SKU and track quantity separately. Stock status should come from the live inventory system.
Prepare your actual inventory
Use this blank worksheet to collect existing codes and product details. It contains headers only and is not a Shopify import file. Leave unknown details blank; do not infer origin or treatments from photos.
Download inventory worksheetBefore publication, confirm each product's actual photos, code, quantity and disclosures. Private sourcing documents belong in a controlled evidence system, not a public gallery.
